Frequently asked questions

I have forgotten my password; how do I reset my password?

There is a link to Request a new Password on the login page of the Portal. Please click on this link and complete the form. Our support team will then be in touch.

When will I get paid?

On this support page, there is a section called: Payment Schedules. There is a table that indicates when funds will be received in your account.

Why have I not received 30 days’ worth of payment?

Our system is set to a scheduled payment of 4 weeks, paid in 30 days arrears. Therefore, you will receive 4 weeks’ worth of payment every payment run. Rest assured the amount will be accurate; however, our payment cycle is four-weekly. Please note BCFT calculate payments based on weekly fees and not a daily rate. You can view your weekly rates on the ‘Care Package Line Item’ screen within the Provider Portal.

A young person’s placement has ended, but I can see that the CPLI is still open on the Provider Portal?

Raise an Action and use the relevant notification type in the Provider Portal to inform us, or you can email the Home Finding team at: Placement.admin@bradfordcft.org.uk to inform us of this and the end date.

Can I sign the Individual Placement Agreement within the Provider Portal?

No – you can only view or download completed and signed Individual Placement Agreements within the Provider Portal. The Provider Portal will allow us to store all completed Individual Placement Agreements for you to access as needed.

Can we have more than one person accessing the Provider Portal, as we have different roles within our organisation?

Yes, we can create multiple accounts per provider as needed. Each person will need to fill out our sign-up form so that they have their own set of login details to access the Provider Portal, you cannot share accounts. Please email the Home Finding team at: Placement.admin@bradfordcft.org.uk and they can send you a link to the sign-up form.

I have a query regarding my payment; how do I raise this?

You can raise a query by using the Actions feature in the Provider Portal or you can email the Home Finding team at: Placement.admin@bradfordcft.org.uk.

How do I access my Remittance Advice?

The quickest way is to go to the Scheduled Payments screen, select a finalised period from the left – and there will be a button to download your remittance advice. If you would prefer to view on screen instead, click on the Reports icon within the portal. Select the Remittance report. You can either download the remittance as an Excel file or as PDF file.

How do we receive payment for ad-hoc spend that is not part of the agreed placement cost?

Placement core costs typically include – accommodation, utilities, food, clothing, living costs, management of routine/behaviour/boundaries, indirect therapeutic support or intervention, transportation, education (as agreed in the core placement), standard activities, social inclusion, festival allowance, birthday allowance, pocket money, savings, shared staffing costs and non-staff costs. This cost, as well as any additional support specific to the child/young person should have been agreed upfront and confirmed within an Individual Placement Agreement.

If you believe any ‘emergency or discretionary spend’ is required, you will need to get in touch with the child/young person’s relevant social worker so that this spend can be approved in advance of any cost being incurred. Once approved, you can raise an invoice and email the Home Finding team at: Placement.admin@bradfordcft.org.uk. They will process the payment (as long as the spend has been approved) and you will be able to view this within the Provider Portal.

Generally, the trust expects all costs to be covered by the agreed core placement cost, and so ad-hoc spend should be exceptional.
